How to Write a Report

                The three steps involved in writing a report are:
Step 1.
MAKE A PROPER ANALYSIS OF YOUR SITUATION
This involves pointing out the clear purpose that connects the sender’s need with the audience’s needs. Here you are expected to:
*      DEFINE THE PURPOSE: Business messages have both general and specific purposes. This helps define the approach you need to take.
*      DEFINE THE AUDIENCE: Your message should arouse the interest of the audience. It should contain tips that can solve their problems.
*      GATHER INFORMATION: Assemble the information that you will include in your message with a clear picture of the audience in mind.

Step 2.
WRITE THE BODY
This involves:
*      INTRODUCTION: The introduction should give the reader an overview of the report- its aims, scope benefits and limitations.
*      MAIN IDEA: It contains the detail and main points of your report.
*      CONCLUSION: This analyses the main subject of the report.
*       SUMMARY WRITING
*       COMPLIMENTARY MATERIALS
*       TABLE OF CONTENTS
*       BIBLIOGRAPHY
Step 3.
COMPETION/REVIEWING
This includes proof-reading your details to know if your report has fulfilled its intended purposes- if it
is relevant, clearly and precisely written, reasonable and correctly spelt.

                Personality is the “brand image” of an individual. It is a reflection of how the individual thinks, behaves and feels as expressed in his/her words. Personality is made up of behavioral traits such as ones attitude toward life and inter-personal skills, qualities of leadership, motivational levels and communication skills. It is also made up of attitude and character as well.
                Personality has nothing to do with one’s physical attribute and looks such as complexion physique etc. as some persons might reason. It has to do with the inner person. Having a clear understanding of our personality- traits, thinking and learning styles is very useful because it helps you improve your motivational knowledge and behavior as well as that of others in anywhere we might find ourselves at any point in time. It also helps in tolerating and improving other peoples’ communication styles, learning styles, motivations, strengths and weaknesses. There are different types of traits and personality of an individual, viz:
*      ROMANTICS: Individuals with this type of personality love to establish warm connection with people, always emotional and truthful.
*      PLANNER INSPECTOR: Talented in planning and noticing what’s missing. They have the urge to take up responsibilities and are active and loyal in any work they do.
*      THE HELPERS: These types of individuals have a fellow feeling and the quality of making someone feel so special. They are caring, generous, warm- hearted and concerned.
*      COMPOSER PRODUCER: They struggle in nurturing their own self- esteem. They stick to what’s important and ceases every opportunity to get in. They are also creative in solving problems.
*      THE PERFECTIONISTS: These are the “mean” types of individuals who are principled and serious with their works. They are reasonable, responsible and well dedicated to anything they do, and are unhappy if others appear unserious. They have high dreams.
*      PROTECTOR SUPPORTER: They love to know the ins and outs of everything so as to provide needed support. They are good listeners and also have a good sense of remembrance. They are volunteer helpers and are irritated when others seem to ignore rules.
*      THE ACHIEVERS: These types of individuals are good in getting along with people, especially their co-workers. They are optimistic, goal oriented and energetic.





       What are the phases to develop effective reading skill?

                Phases/steps for developing effective reading skill are as follows:
HAVE LOVE FOR READING
Feeling good about reading positively affects your approach and understanding of the book/ chapter. For a student to be an effective reader, the “love” for reading must first be there.
HAVE A GOAL/INTENTION
 Having a clear goal for reading is essential for developing effective reading skill. It is very essential to evaluate whether the text and the reading of it will meet your goal. Different reading purpose requires different levels of engagement with texts. The purposes may include the following:
*      READING TO REVIEW: This type of reading require active and more rigorous approach as effort to understand the text and to follow up suggested materials are made. It is the most important purpose because it is done to make sure that the main points made are well grasped.
*      READING TO REVEAL:To reveal main points in preparation for lectures. It is done to gain the key understanding of the main ideas. When we read to reveal new sources, it requires slower reading as almost the whole idea is needed by the reader.
*      READING TO REMIND: Done to refresh ones memory.
BE SELECTIVE
This requires that main points in the book are well selected and read. Reading a book cover to cover in this case is not necessary. It also involves selecting the textbooks that explain the points to our best understanding. So to be an effective reader, a student should be selective.
SMART READING
Reading the introduction and conclusion of a book/chapter is a bold step in smart reading because it provides the overview and purpose of the book. With smart reading, the understanding of the book/chapter becomes easier. Smart reading also involves identifying the main points, knowing when to stop, discovering the right time to read etc.
FASTER READING
To be a fast reader, one must not keep re- reading words in an effort to get a clear understanding. Checking unfamiliar words in the dictionary could also limit the speed.

ACTIVE READING
This involves making notes. It helps you get more involved in your reading and focus on what you need to add to what you’ve known.
